River Oaks Property Owners, Inc. (ROPO), a non-profit organization, is seeking a full time Deed Restrictions Assistant to contribute to the ongoing administration and communication of deed restrictions matters affecting individual neighbors and the entire River Oaks neighborhood.
The ideal candidate will have:
· A general working knowledge of architecture and construction with the ability to read plans and identify typical residential construction processes in the field.
· Excellent professional communication skills (written and verbal).
· Strong organizational skills with the ability to multi-task in a busy environment and complete regular assignments and duties with minimal direction.
· A well-defined team player attitude.
· Experience using Microsoft Office programs including Word, Excel and Outlook and the ability to learn new programs and custom database software as needed. AutoCAD or Bluebeam experience is a plus.
· A bachelor’s degree in a relevant field, work experience within architecture or construction is preferred.
· A valid Texas drivers’ license with a clean driving record. A criminal background check and drug test will be required.
Job duties include, but are not limited to:
· Maintain all ongoing construction records for the neighborhood and proactively manage the Mandatory Construction Related Documents required by the board for Major Projects. Follow up with contractors when documentation is delinquent as outlined in the requirements. Maintain a tracking system for this documentation and issue letters of acceptance when the correct documentation has been provided.
· Drive the neighborhood on a regular basis to monitor the progress of approved construction, actively monitor for unapproved construction and identify other deed restrictions issues.
· Produce accurate documents related to property transactions.
· Assist the Deed Restrictions Manager with a variety of tasks, including evaluating deed restrictions submittals and preparing monthly written reports for meetings with the ROPO Board of Directors.
· Handle phone calls, emails and in-person meetings with neighbors regarding concerns or services they receive and follow up in a professional and timely manner.
· Maintain an extensive in-house records library consisting of plans, paper files and electronic files.
· Assist with board meeting coordination and record keeping.
· Special projects may be assigned by Deed Restrictions Manager or other senior staff as needed.
